How we built an outbound engine that generated 50 leads in 30 days

For a UAE-based digital marketing agency, ProspectVista built the infrastructure, targeting, data, messaging and optimization system required to run outbound as a repeatable acquisition channel.

These two figures describe individual campaign performance within the broader system. They are not the source of the 50-lead figure.

01 — The starting point

Before the leads, there was a system to build.

When this engagement began, the client had no outbound acquisition channel. What existed was inbound and referral business — steady, but not scalable on demand.

  • No established outbound infrastructure
  • No validated outbound ICP
  • No historical outbound performance data to build from
  • No repeatable outbound acquisition process
  • No reliable campaign learning loop
The challenge wasn’t finding 50 prospects. Anyone can find 50 prospects. The challenge was building a system that could repeatedly find, qualify, reach and learn from them.

02 — The chain

We built the machine before we scaled it.

Outbound is a chain of dependent systems. A weak link anywhere quietly caps performance everywhere else.

The 50 leads were an output of this system. The system itself was the bigger deliverable — and it’s why this result window can be repeated.

03 — What was built

From zero infrastructure to a working outbound engine.

ICP

Target segments identified and refined — real estate first, later clinics and automotive — based on live campaign evidence rather than assumption.

Data

Prospect lists built from scratch, with lead quality improved progressively across successive campaigns.

Enrichment

Prospect information enriched and validated before it entered a campaign, instead of relying on raw lists.

Infrastructure

Sending infrastructure and a deliverability process, including ISP matching to the recipient’s mail provider for inbox placement.

Messaging

Moved from a direct meeting request toward free-value positioning — leading with something useful instead of an immediate ask.

Segmentation

Split by ICP, email type (Google MX valid vs. catchall, Microsoft-hosted) and vertical, so each segment could be measured independently.

Measurement

Replies, positive replies, bounce rates and campaign-level performance tracked on every send — not only at the end.

Optimization

Weak tests paused when data didn’t support scale, with every learning carried into the next campaign.

04 — The diagnostic

The first campaign was a diagnostic, not a verdict.

With no historical data to design around, the engagement began with a deliberate, low-volume test rather than an immediate push to scale.

The first campaign didn’t give us the answer. It gave us the data to find it.
  • Sharper ICP targeting, based on what the first test revealed
  • Cleaner, more accurately qualified prospect lists
  • Stronger lead qualification before a prospect entered a campaign
  • A shift to free-value messaging instead of an immediate meeting ask
  • Email enrichment and validation to improve list quality
  • Segmentation by ISP and email type to protect deliverability
  • Deliverability optimization alongside messaging changes
  • More relevant, targeted personalization

These changes were introduced together, not isolated through individual A/B tests. The results reflect their combined effect.

06 — The central result

Once the system was running, it generated 50 leads in 30 days.

By this point the outbound system was no longer being tested — it was operating. ICP, data, infrastructure, messaging, segmentation and measurement were all in place and running as a coordinated process.

The 30-day period is a defined operating window that followed the system build. It is not the length of the overall engagement.

  • Outreach launched across multiple parallel tests
  • Replies monitored continuously
  • Positive responses separated from generic replies
  • Underperforming segments adjusted or paused; strong segments kept running

08 — What the system learned

Four findings that changed how the engine runs.

01 — Targeting

Better targeting beats more volume.

Refining the ICP after the first test — rather than sending more volume against unproven targeting — moved reply rate and reply quality together. Qualification before outreach cut off-target contacts at the source.

02 — Data quality

Not every segment deserves scale.

Run over the same period, the catchall segment bounced materially higher than the validated segment — and was paused rather than scaled.

9.15%Google MX catchall
0.31%Google MX valid

03 — Reply quality

Reply rate isn’t the whole story.

The automotive campaign had one of the lower reply rates in the program — and the highest positive-reply share of any campaign.

3.33%Reply rate
80%Positive share

04 — Optimization

Weak campaigns get paused, not protected.

Two of the five latest campaigns were paused. A working system identifies underperforming segments quickly, pauses them, and uses them to inform the next decision.

09 — The asset

The 50 leads were the outcome. The system was the asset.

ProspectVista didn’t hand over a list of prospects and walk away. The client now has a functioning outbound acquisition process — capable of producing results like the 30-day window above on an ongoing basis.

11 — The loop

The outbound engine.

TestDiagnoseImproveSegmentMeasureIterateScale

We don’t assume the first ICP is correct. We don’t assume the first message is correct. We don’t assume every segment deserves scale. Every campaign produces data, and every result informs the next decision.

We didn’t scale the problem. We fixed the system first.

12 — The takeaway

We didn’t just generate leads.
We built the system that generates them.

If your outbound depends on random lists, inconsistent campaigns, or sending more emails whenever pipeline slows down, the problem may not be volume. It may be the system behind it.
